Group By, Filter & Sort

There are multiple ways to visualize the database, and you can effortlessly switch between them based on your immediate needs. Within each view, you can group data into sections, apply filters, and utilize sorting functionalities to conveniently classify your content.

What is grouping by?

In a database channel, you can partition all the items into sections using various criteria. You can select a property to group them by and easily switch to another whenever necessary.

How to group data into sections
  • Click the Group button in the view navigation to access the property menu.
  • Choose a property from the available options for grouping your data.

You can customize the groupings by the following properties:

  • Select
  • Multi-select
  • People
  • Created by
  • Last edited by

Cancel groupings

  • Click the Group button in the view navigation.
  • Select None from the property menu.

Reorder groupings
  • Click the Group button and select Group sort from the menu to see a dropdown of properties.
  • Use the ⋮⋮ icon to drag properties up or down, reordering them according to your preference.

Hide or show a grouping

  • To hide a grouping, select the Group Sort to bring up the dropdown of properties. Click the 👁️ eye icon next to the grouping you want to hide.
  • To show a grouping, click the crossed-out eye icon to bring the grouping back into view.

Groupings in different views

Groupings in different views remain distinct. Within the same database, different views offer the flexibility to group data by various properties. For instance, while you can group by Stakeholders in the list view, you can opt to group by Priority in the board view.

Each group in the list view has a small triangular toggle icon next to its name. This icon lets you expand or collapse the group’s section with a single click. When a group collapses, the triangle points to the right, indicating its contents are hidden.

To reveal the group, click the icon again, and the triangle will point downwards as the group expands.

Filters

Filtering your database to display only items that meet specific criteria is a breeze. You can easily set filters based on desired properties. The filters can be as simple or intricate as needed, giving you complete flexibility.

  • Click Filter in the view navigation to open up the filter.
  • Choose a property you want to filter by, the condition, and the value.
  • By selecting specific conditions and values, the database will produce relevant results.

You can filter your database by several different conditions as well:

  • Click on the Add filter rule button.
  • Select the property that you want to filter by from the dropdown menu.
  • Then, choose the condition and the value you want to display.
🌱 Note
When adding multiple conditions, you can choose between “AND” or “OR” to refine your results to your exact specifications!

Remove filters

To remove filters, follow these steps:

  • Open the filter and click on the Trash icon next to the filter you want to delete.
  • Alternatively, you can click on the Delete all filters button in the bottom left corner to remove all of filters at once.

Sorts

Sorts

You can organize your database by sorting items according to the specific property in either ascending or descending order.

  • Click Sort button in the view navigation.
  • Select the property you’d like to sort by in the dropdown that appears.
  • Edit the ascending/descending logic.
  • To remove the sorting, click the Delete sort button at the dropdown’s bottom.
